Event host general guidelines

Explore helpful general information about hosting a third-party fundraiser for WellSpan. Make sure to read the third-party fundraiser tool kit for additional information.

There are many ways you and your organization can make a difference in the lives of your community. Some ideas for fundraising events include:

  • office jeans day
  • bake sale
  • coin drive
  • fun run
  • walk-a-thon
  • sports tournament
  • T-shirt sale
  • potluck
  • craft sale
  • movie night

To give us a clear understanding of your planned fundraising event or program, you must submit a completed and signed application form, ideally 90 days before the proposed event date. (If you’re past the 90-day window, submit your application as soon as possible and we will see what we can do.)

The relevant Philanthropy office will notify you that your application was received. Please allow 30 days for our response.

We review each application to ensure the proposed event is consistent with WellSpan’s mission, vision and values. We also evaluate timing to avoid potential conflicts.

Unfortunately, we do not have the resources to plan your event; however, we’ll provide as much guidance as we can.

While we do our best to attend third-party fundraisers, we can’t guarantee volunteer/staff attendance at your event.

Any promotional materials — including but not limited to press releases, public service announcements, scripts, posters and brochures — must be submitted to the appropriate Philanthropy office for review at least 30 days before use.

WellSpan Health and WellSpan Philanthropy logos are registered trademarks and cannot be legally reproduced without permission.

You’re responsible for furnishing liability insurance for all activities, applying for a license if you’re conducting small games of chance during your event and ensuring that your event complies with all relevant state and federal laws.

We’re not responsible for your event budget and financial performance. As a rule of thumb, we recommend spending half or less of the total raised (excluding in-kind donations such as food, beverages, printing or silent auction items).

You can’t use a WellSpan sales tax exemption certificate for event-related purchases.

Within 30 days after the last day of the event, please send a check with all the event proceeds, payable to: WellSpan Philanthropy, 50 N. Duke St. 2nd Floor, York, PA 17401

WellSpan can’t solicit monetary or in-kind sponsors for your event or program, nor can we provide in-kind support (products or services).

Before you solicit cash or gifts from potential sponsors, please contact the appropriate Philanthropy office for a list of restricted sponsors.

Please immediately advise the appropriate Philanthropy office of any material changes in your fundraising event.
